American Legion Gilbert C. Grafton Post #2 Fargo, ND Executive Committee Meeting (Board Meeting Minutes: July 20, 2010) (6:59 pm @ Gilbert C. Grafton Post Legion Hall) Board Members: Present: Linda Whaley, Amy Wieser-Willson, Ricardo Morales, Tom Tolman, Ron Matthews, Hank Deyle, Mike Haugen, Dick Walstad, Bob Jacobson Absent: Cathy Keogh, Brad Aune, Larry Woodbury Quorum present: Yes Others Present: District #1 Commander, Steve Parmer Proceedings: Meeting called to order at 6:59 p.m. by Commander Linda Whaley with the Pledge of Allegiance and Prayer. Post Meeting Minutes for July 6, 2010 approved Commander’s Report: • Discussed Gilbert C. Grafton Post #2 monthly expenses • Acknowledged and thanked all legionaries who volunteered for the Fargo Street Fair and Beer Garden. • Reiterated her focus during her tenure as Commander of Gilbert C. Grafton American Legion Post #2 will be on membership and family. Finance Committee Report provided by Finance Officer, Tom Tolman: ? Provided detailed overview of financial statements • Mr. Tolman reviewed highlights, trends and issues from the balance sheet, income statement and cash flow statement. Issues include future pending accounts receivables which require Committee attention. • Past Post #2 Commander, Bob Jacobson was asked to provide all remaining check blanks o Past Post #2 Commander, Bob Jacobson, turned over the blank checks during the executive meeting • Shared Gilbert C. Grafton American Legion Post #2 is current on all bills. Motion made by Rick Morales to accept the financial report, second by Amy Wieser-Willson, motion carries Adjunct Report: ? Discussed Gilbert C. Grafton Post #2 monthly expenses ? Acknowledged and thanked all legionaries who volunteered for The North Dakota American Legion State Convention o Post #2 received positive comments from State legionaries for hosting the event. ? Discussed Mailing of membership renewals o Will need envelopes and postage for mailing o Will utilize bulk mailing to save on cost of postage. New Business: ? District #1 Commander, Steve Parmer – Provided a report regarding the Fargo Street Fair and the sales of Bohemian Dumplings during the beer garden events. o Sale of Bohemian Dumplings provided approximately $725.00 in profits. ? District #1 Commander, Steve Parmer – Provided issues regarding Post #2 Baseball. o State Legion Office would like to utilize the Bomber Bus to transport legionnaires to the National Convention in Milwaukee. ? After much discussion regarding expense (maintenance and insurance) to Post #2. Motion was made for Tom, Hank and Commander Whaley to determine appropriate term of use and inform the State Legion Office of said terms. Motion made by Mike Haugen and seconded by Bob Jacobson, Motion Approved o Shared Post # 2 Baseball is short $24,000.00 in funding (usually the share they receive from the gambling fund). To overcome the shortage and generate revenue the Post #2 Baseball Board would like to create a separate Tax ID # and not be affiliated with Gilbert C. Grafton Post #2. The Post #2 Baseball having their own tax ID number may allow them to generate their own gambling revenue to assist with expenses. ? After much discussion the executive board was vehemently opposes any proposal which allows Post #2 baseball to disaffiliate with Gilbert C. Grafton Post #2 prior to the establishment of a new home for Gilbert C. Grafton Post #2. Commander Whaley during this discussion clearly stated Gilbert C. Grafton Post #2 will continue to support the all Legion programs which exemplify the importance of the American Legion, Legionaries and their families. o Shared Post #2 Baseball would like to utilize the remaining popcorn supplies still available at the Legion Hall ? After little discussion motion was made to give the remaining popcorn supplies at the Gilbert C. Grafton Post #2 Legion Hall to Post #2 Legion Baseball. Motion made by Hank and seconded by Tom Tomlin. Motion Approved. ? Commander Whaley on behalf of 1st Vice Commander Keogh – Provided information on the Yellow Ribbon Event for the soldier returning from Kosovo being held at NDSU, Barry Hall on August 28, 2010 (7 am – 4 pm). o Requested volunteers to assist with covering American Legion booth o Spoke on the opportunity to talk with and present the American Legion message to our returning soldiers o Spoke on the opportunity during the Yellow Ribbon Event to implement the Commander’s initiative on membership ? Bob Jacobson – Shared he is meeting with Terry Springer, City of Fargo Gaming City of Fargo gaming on July 21 to discuss audit. ? Tom Tolman – He would be scheduling a meeting to meet with Terry Springer on July 26. ? Hank Deyle – Share he would like to see more participation for Post # 2 Members at the Legion Baseball Games. o Post # 2 Legion Baseball is always looking for volunteers for concessions, tickets takers and reading the sportsman code of conduct. ? Mike Haugen – Share there has been some interest in the building by a local business. Interest dropped after city of Fargo informed business they cannot move their liquor license beyond their current location. o Mike and Dick Walstad shared they would be willing to talk with the City of Fargo to see if alternative solutions are available, board agreed. o Shared all possible solutions to selling the building must be put on the table for discussion. ?
